• Hey! On my way back from having a nice holiday, and it was a good vibe. Also I checked in with the fresher gms. (Note. 2 dead. 6 vibing. One vibing but online. This isn't my report this is just making sure I remember for later 😝😝 love u autumn) also I have like two new rescue birds so uhh yeah. V. Excited to get back to being an alive Perth unigames person again 💜💜

• Alistair is going to summon a meeting once people have reps
  • Us, Unisfa, PCS, UCC and Chess are a yes

  • We have yet to discuss if we are asking uwasca
  • Discussion of how much space and time a Uwasca presence would use, whether this could be a low-risk ingratiation of uwasca into the ICON clubs, what kind of activities they could possibly run
  • We will check with how the other clubs feel

O-DAY [Friday 19/2/21]: ¶

  • The fresher guide has issues and needs to be rewritten
  • What can we write now, and what will need to wait until closer to the date
  • We will need to evaluate what is worth keeping, chucking or adding
  • Discussion of fridge items being described
  • Discussion of committee members being listed

Alice: Check in with the freshers about the fresher guides

Taylor, Alice: Rewrite the fresher guide

• Signup forms

  • An online signup form would be very convenient
  • We have to be careful about putting out a public QR code/form that people could scan for free, or submit multiple times
  • Having all records of signup go directly into a spreadsheet and nowhere else renders us vulnerable to error that ruins everything
  • Physical signup sheet problems are generally always due to gatekeeper error: signing incomplete or illegible forms, or (alarmingly often) not writing down whether it's been paid
  • A physical solution will need serious revision of the process to avoid errors

• Taylor will have major commitments to SOC on o-day and may not be able to lend a hand at our stall

Taylor: Write an EXHAUSTIVE definition of procedure for signing up members on o-day

Fresher Welcome [Thursday 25/2/21 (Week 1)]: ¶

• The incredibly early freshers pose a serious problem that whoever is around to run the event will be too busy entertaining them to set up
• This event is not normally rostered
• Opening speech:
  • Taylor wants to prioritise making sure this speech gets made to as wide an audience as possible
  • Possibility of a double speech, several hours apart
• Confirming funding model of gold coin for freshers and $5 for returning members
• We may need to change the way we distribute pizza for covid reasons
  • Slowing down pizza distribution may make everything easier to keep track of

Alistair: Inform ICON about our plans for fresher welcome and AGM

Room Update: ¶

• Alistair is keen to change up the rules

  • Contact tracing sheet is done pretty poorly
  • Blanket contact tracing for everyone who enters the room is easier and harder for people to argue, we do it anyway for events
  • Set up a sheet for the room where people record their name, student #, and time arrived
  • We can potentially put up a SafeWA QR code, not necessarily enforce it
  • Gatekeepers will receive detailed instructions, with limited patience for bullshit
  • Still do separate attendance lists for events

Alistair: Write up new clubroom rules and post them

  • Ambiguity of the purpose of the board and whether it counts as booking the room
  • Reminder to everyone that you can only have 6 people at the table. If you have more then please use the loft or the couch

  • Taylor had a brief chat with Chloe about the state of the loft and they both want to tidy stuff up
  • We still want to push for the full list of reallocations to be made public

• Gozz has been having 3D printing project adventures
• We have the possibility of having his 3d printer available to members
• To print minis at the cost of filament
• It's reasonable quality, better than ucc hopefully
• Gozz also wants a CNC machine (laser cutter) and is interested in making custom boxes for the board games to optimise shelf footprint
