Thanks to my amazing committee we've managed to keep up a close to normal amount of activity over quarantine using our Discord server. - We've successfully appealed Tenancy's attempt to evict us from the clubroom, there's a meeting on Monday to iron out all the kinks that are left in the contracts. - We managed to win Best Club for the year, and we're in the process of getting the certificate reprinted so it says the right name. Thanks Uni Space Games. - I've also been helping organise a massive inter club camp with UniSFA and UCC which has now SOLD OUT! - There's probably other things that I've done but I'm gonna let Taylor talk now. - **Vice President's Report** - This year has been totally normal and fine. It's always like this. - My 2020 committee experience has been dominated bureaucracy - Had about a week of calm before Tenancy Shenanigans™ occurred. Tl;dr they wanted us to share UWAnime's room with UniSFA. After many months of nonsense, our appeal has been upheld and everything's fine now. - Ran an online quiz for Ghost Camp. Solidified my dislike of multi-choice. - Dominated at Goose LARP by capitalising on my unfair advantage as Emerald's housemate. She still has not found the final hidden gnome. - Exceptionally proud to see my baby Roleplay for Life all grown up and raising 20 times as much as the year I started it - Got injured at relay for life after playing a pile of boardgames on the track - Hype for Camp in 3D now sold out. Please don't hurt yourself beyond my first aid capabilities. - Making student build us a Library system again. Thanks Alistair and Gozz for handling the bulk of it while I was out of commission for a bit there - Constitutional shenanigans. End of sentence. - Had a lot of discussions about complaints and discipline in respect to the club. More to come. - I got a last second ticket to Guild Ball and got to collect the Best Club Award for "Uni Games". Figures the tabletop game club would win in the one year tables are illegal. - in all seriousness congratulations to everyone, we couldn't have done it without you. Most clubs struggled to run a handful of events during lockdown let alone 3 a week. Our Dynamax form is just being the best club. I'm so proud of you all. - **Treasurer's Report** - hi friends! what a year. end of sentence. also, - amelia says hi!!! - ok onto real report - i've done a bunch of things! - worked on camp in 3d, attended bunch of events - watched us get best club!!!!! - wargaming spg happened and was successful! - semester grant as well! - looking forward to my couple final months of being 2020 treasurer (until it hits 2021), it's been a great time! i genuinely love it here! - opening balance: $3,729.89 - current balance: $903.67 - **Secretary's Report** - Ran oneshots, including the GM workshop - Was team captain for Relay for Life, raising a final total of $3843 - Created Charity Unvigil along with Kyle, which was our major online quarantine event, and set the record for fundraising at a vigil - Have been diligently minuting away, of course, and am very invested in communication between the committee and the membership - Amelia says hi - **Librarian's Report** - Shan this is my secret ogm report hahaha - I did invisible repairs on a host board games, and separated some of our most damaged books for repairs I plan to do as soon as I get a special tool. - More recently I did a very big book buy, half of those new items still incoming! - kicked some shitty games out of the library to make room for new and playable games. - I ran roleplay for life, we made a total of over $2600! - I helped run quiz night, that was last night! Public opinion is that it was good! - I'll be helping out at camp too! - Amelia says hi! - **Fresher Rep's Report** - Hi! Its you friendly neighbourhood fresher rep here for another five hour meeting (touch wood). - This semester; - Fresher Campaigns - there are nine - fresher engagement seems very good, especially with the covid impact - discord be good! - I've organised a few things, boardgames, rpg's, Ghost Camp. - I've made good contacts with sister club fresher reps, through shared subway cookies and a mutual love of ~bullying~ jackie. - Amelia says hi, and that the freshers are alive. As far as we know. - **OCM's Reports** - **Kyle** - [REDACTED] is wargamer extrordinare🤠, king of jockmittee and resident merchman - Due to covid there hasn't been a large amount of wargaming events 😭 - have been working with jackie to expand wargaming terrain 😎 THE TERRAIN IS ACTUALLY READY TODAY - going to represent unigames at the state team champs for 40k in 2 weeks time - amelia says hi - **Gwen** - your local OCM getting into every facet of the club (LARP is the only one left) - I've been running board game events both online and in person (even bringing in some of my own games). It's been a pretty good time - I've run like a couple of oneshots whilst we were online - I was on the organisational subcommittee with UWASCA and UniSFA for the Crafternoon Collab where we made dice bags - im also on the unigames team for the WATC tournament coming up (yes this is 40k) which is cool. Hehe I'm a sweaty wargamer. - greatest actual achievement: Pringles in the clubroom - Amelia says hi - **Josh** - kind of a rough year - organised some one shots - crafternoon, went well and we are hoping to do more events with UWASCA in the future - Amelia says hi - and since no one else has said it yet, thanks alistair for nutting one out - **Ash** - uuh 2020 was a year lol - was able to help run online events via discord (even with shoddy internet riiip) - ran some board games events irl and learned how to do important things such as EMP's - watched Unigames get Best Club tm, was very happy ^.^ - overall am very glad I was able to be apart of this committee and enjoyed all the challenges that came along, including the covid bit :3 - **IPP's Report** - Alaura parked in front of the right room and then walked to the wrong room - Taylor makes a procedural motion to move "Review of ..." above "Constitutional Amendments" - Unanimous in favour ### Review of the expulsion of Liam Prince as per section 13.4 of the Unigames constitution - Taylor outlines the rules of discussion: We will not be discussing the nature of complaints, and in many cases we are not allowed to. - Complaints initially came in at the end of 2019 committee's term, and was carried directly into 2020 committee's hands. We reviewed the complaints and followed the usual procedure: Liam was doored while investigation was ongoing - This progressed into a suspension, to be reviewed at the next general meeting. - Meetings were had with Jacob, Bre, and a rep from Student Assist. - Since committee members could always be, to some degree, construed to have a conflict of interest in backing up an ex-committee member, committee was very keen on letting Guild take the lead. - About a month ago, when we sent out this agenda, committee got in contact with Tony to share the information. We were urged to share the issue with Complaints, contrary to our earlier advice to not share the information. - Shortly after a meeting was had with the Complaints office. Committee were informed that we weren't allowed to expel a member from the society, due to fair judgement rules and the delicacy of interpersonal conflicts. - Committee has been in contact with Liam over email, and he has been willing to listen and proposed a suspension himself. - Complaints were able to help us with an Agreement of Behaviour, which Liam voluntarily signed. - Liam is suspended from Unigames until 2022. - Question is asked of why an indefinite suspension is not implemented. Guild is not currently able to permit us to do that. - Question is asked of whether the Uni/Guild might turn around and tell us we're not allowed to suspend members. Not a concern, as Liam cooperated and willingly signed the paper. - Question asked: If procedures were revised to permit a permanent expulsion, would committee favour an expulsion? Committee has in the past voted in favour of preferring a permanent expulsion, and will be assembling a doc of recommendations for 2021/2022 committees. Before the suspension is lifted, we will strongly recommend that the committee has a meeting with the uni. ### Constitutional Amendments - Major revision of the constitution proposed by Taylor Home, seconded by Gozz. - Alistair explains our plan of action, in which we will go through the whole new revision, and then vote on the whole thing as a block. - Proposed new revision: https://docs.google.com/document/d/1AirOPU-FrS0lEvpEK92iBu5qBAIv3SUcBum8l_iF9vk/edit?usp=sharing - "Things we're doing at the recommendation of the University, i.e. everything to do with exclusion, suspension, expulsion, discipline, membership, committee powers, etc." - The powers of suspension and expulsion, grouped together as "exclusion", should not be brought to a general meeting. The new revision provides a specific definition of exclusion and directs committee to handle exclusions in relative privacy, under close supervision from the guild and university. - A suspension requires a 2/3 majority of committee and a vote to expel must be unanimous. - The Duties and Powers of committee are more well defined, and now explicitly include the power to grant members gatekeeper powers - Membership has been rigourously defined and specifically disallows excluded members from being members. - "Things to make the Secretary's life easier, i.e. notice requirements for meetings" - Revised the notice requirements for a General Meeting to disallow sending out the agenda immediately after sending out notice (i.e. preventing anyone from submitting agenda items) - Additionally, included a time buffer between final agenda items being submitted and the agenda needing to be sent out. - Motion to change 16.1.1 of the constitution to change "four" to "seven" - Passes unanimously - "Go through the entire document and every proposed change from top to bottom. If anyone has questions or concerns, we will stop and discuss, if there are objections we will debate, if we don't agree we will vote to amend the proposal. Given the number of moving parts that interact it will be easier to amend the proposal than to vote each change in one by one because we risk ending up with a document that isn't internally consistent." - The whole new constitution is reviewed - Winslade repeates his concern about procedures for informing members about expulsion discussions - Motion to adopt all of Taylor's proposed amendments to the constitution, en block - Passes unanimously ### General business - Question raised regarding whether SOC will follow through on their responsibilities to us when they approve or dismiss our new constitution - Taylor outlines her intentions to send recommendations through to Guild on how to better handle communications with clubs and avoid situations where Guild has to tell clubs they can't do what they thought - Keifer uses our time for two more seconds to say good job everyone Meeting closed 2:59pm -- This Week's Action Items:
