Unigames Committee Meeting Minutes March 18, 2014 Start time: 4:10pm End time: 5:05pm OPENING REPORTS PRESIDENT Grants have happened. Things are busy. Borrowing system is cool. VICE PRESIDENT Called the camp place, received invoice today for deposit, which will have all the pricing. We need to pay the deposit soon to confirm the booking, and then we can start organising the rest. Borrowing system has already had some people fail, it’s hilarious (thanks JVB). Cleaned air conditioner and fixed leaks, is 700% better (thanks JVB). TREASURER We have money. We have food. Got some grants, that’s great. Can buy cool things for freshers. SECRETARY Bought the folder (thank). Is rad. Fan broke my nail, ouch. Put lots of bandaids on. JVB was sympathetic. Jake was not sympathetic. LIBRARIAN Has done librarian things. Has solved dumb problems. FRESHER REP Freshers may not be alive. AGENDA ITEMS 1. Date for Gatekeeper meeting * For just before a committee meeting. Gabby and Rowan will organise stuff. 2. Chess * Rowan has a meeting with someone who wants to start a chess club. Ruisi is friends with him. Chess people approached SoC, were told to talk to us first. “Chess should stop being shit” – Roland. Moving the discussion to the facebook page. 3. Grants * We have $250 approved for Fresher campaigns. We have to decide what to spend it on, and then provide receipts for at least $300 - $350 worth of stuff. Jon smells a book buy. Make suggestions to the Facebook page, decisions are delegated to Roland. * O-Day grants: Some stuff was submitted a day late due to sad shenanigans. The penalty is 25%, but still worth. JVB wants to appeal it. Rowan says that we’re getting a lot of money anyway. The arguing continues… 4. Cameron Hall Forum * Steven bravely represented us. Nothing happened because no one is running anything major. There has not been a new meeting time set. Hopefully we will know in event next time. 5. Next one shot * Jake will be our one shot OCM. All hail. * Will discuss what kind of systems we want on the Facebook page. ACTION ITEMS 1. JVB to book the camp * Done 2. Roland to make a book borrowing form + buy plastic case * Done the case, needs to redo the form 3. Gabby to post rules of borrowing system on Facebook pages * Done 4. Steven’s Magic Draft * Polled the members, they want Monday the 27th. Will schedule it for then. Might have to run two, depending on numbers. The draft will run at no profit (only profit will be from the cards). Will buy 3 boxes. Needs $480 (approved) 5. Frames’ GM Panels * Subbed in Cam for Roland. Cam has a very different relationship with his players to other GM’s, should be good. It’s now Cam, Leonard, and Jacob. Next one after will be 3 weeks after. Date will be the 21st of March. “Screw Roland” - Frames 6. Jon’s nWoD One shots * Should probably organise some GM’s. 7. Quiz Night (Steven + Roland) * 18th April. Other event happening that night is a UEC drinking event, probably (hopefully) not at the tav. Blair is the rep for Unisfa. Should be getting forms + powerpoint today, will get prizes from sponsors + rewrite questions. Will do weekly status reports. 8. Frames’ Gatekeeper poster * Unsure about money box details. [it can be left in the clubroom when the clubroom ] 9. Roland’s Fresher Campaigns * Should be doing soon. Started putting people into groups. Needs to power through it. Hasn’t because things need doing. Fresher campaigns will start next week. 10. Jon’s Splat Buy * Jon is super awesome and everything is taken care of and all the books are on the way (ETA like 5 weeks in dribs and drabs. They are being posted to Jon’s house) 11. Roland attaching the notes box to the wall * Sarah will actually do it. Jake will maybe supervise? Hopefully before next week’s meeting. 12. Rowan’s Website Revamp * Postponed (foreverrrrrrrrrrrrr) 13. Mailing list + email aliases * Frames will hunt down Guild IT and fix it.
